Preparing eDossiers for PDF/A conversion with the Conversion Service

Application requirements

Solothurn’s hospitals needed a solution for the proper archiving of electronic case files in their system. The digital environment, an eDossier based on SAP Folders Management, required all incoming Office documents and emails to be converted to PDF/A before being archived.  The challenge for the 3-Heights® Document Converter was to integrate this procedure into the SAP process seamlessly, efficiently and in a user-friendly manner.

Implementation

joinApps AG used a web service to integrate the 3-Heights® Document Converter directly into SAP Folder Management, enabling the user to drag and drop their Office files into the SAP window as normal. As soon as the process is initialized, the Document Converter starts working, converting the files to PDF/A.  SAP then assigns the converted documents directly to the appropriate dossier and archives them. When converting emails, the user can select whether just the email, just the attachments, or both are converted into PDF/A and archived.
